Ontario Tenant Move-In Checklist: Complete Guide for New Renters
Lease Agreement & Documentation
Sign a written lease (Ontario Standard Lease for agreements after April 30, 2018)
Confirm tenant and landlord names, address, rent amount, payment frequency
Clarify lease start and end dates, automatic renewal terms, and notice requirements
Check terms on pets, smoking, subletting, and guest policy
Request the “Ontario Standard Lease Guide” from landlord
Ensure both parties sign and initial each page of the lease
Complete move-in condition documentation
Use a standard move-in inspection checklist (from LTB or other)
Take photos/videos of each room including appliances and damage
Have both tenant and landlord sign and date the inspection report
Rent, Deposits & Utilities
Confirm rent amount, payment method, and due date
Ask if e-transfer, post-dated cheques, or online portals are used
Receive written receipts or monthly payment history
Pay and document lawful rent deposit (maximum one month's rent)
Ensure it's applied to last month's rent, not damage
Get a receipt for the rent deposit
Clarify responsibility for utilities
Determine who pays for electricity, gas, water, internet, and cable
Transfer or set up utility accounts before move-in date
Unit Condition & Safety
Walls, ceilings, floors, baseboards, trim
Inspect for cracks, stains, mold, holes, flaking paint
Doors and windows
Test that they open/close smoothly and lock securely
Check condition of weather seals and screens
Smoke/CO detectors & fire safety
Ensure working smoke alarm in every unit area and CO detector near bedrooms (if fuel appliances)
Know emergency exits and fire escape routes
Appliances and fixtures
Test all kitchen appliances, washer/dryer, and bathroom fans
Test lights, switches, and outlets in each room
Plumbing, heating, and HVAC
Run water in all taps; check for hot water and pressure
Flush all toilets, check for leaks under sinks
Test heating/cooling systems for functionality
Move-In Logistics
Receive all keys, fobs, remotes, and building access instructions
Arrange elevator booking and moving times (if required)
Set up Canada Post mail forwarding and update address with banks, employers, etc.

Understand Ontario tenant rights under the Residential Tenancies Act
Know how to contact your landlord or superintendent
Know how to submit maintenance requests in writing
Keep copies of your lease, receipts, and inspection forms
